Guidelines and considerations
Recruitment & Selection Timing
Availability for Work
Students are typically available for short-term placements during the following periods:
- Summer (Late June to End of September): 4–12 weeks
- Christmas & Easter Breaks: 4–6 weeks
- Longer-Term Opportunities: Students are strongly encouraged to consider extended placements such as a Year in Industry or similar structured programmes, which offer deeper engagement and professional development.
Peak Periods for Recruitment
To align with student availability and academic calendars, employers are advised to target the following recruitment windows:
- October–December: Ideal for advertising roles and conducting interviews over the Christmas break
- January–April: Suitable for Easter break interviews and finalising summer placements
- May–June: Late recruitment phase for last-minute opportunities or additional hires
Practical Considerations for Employers
- Travel: Many students do not have access to a car. Providing clear public transport options or assistance with travel planning can significantly improve accessibility and uptake.
- Visa Requirements: UK-registered undergraduate students are permitted to work during university holidays without needing a work permit.
- Accommodation: Any support or guidance regarding housing - such as recommendations, subsidies, or temporary arrangements - can positively influence a student’s decision to accept a placement.
Insurance Requirements for UK Employers
Legal & Safety Obligations
Employers hosting students must comply with standard UK employment regulations:
- Organisations with five or more employees must register with the Health and Safety Executive (HSE) and may be subject to inspections.
- Employer’s Liability Insurance and Public Liability Insurance are legally required. Certificates must be displayed in a public area of the workplace.
Insurance Expectations for Hosting Students
While no special insurance is required specifically for student placements, employers are expected to maintain standard business coverage:
- Employer’s Liability Insurance
- Public Liability Insurance
- Registration with the Financial Conduct Authority (FCA) is recommended for financial sector placements. FCA Register
International Placements
For students working abroad, employers must adhere to local health and safety laws. Key recommendations include:
- Clearly outlining employer and student liabilities in a formal contract or upon arrival
- Encouraging students to obtain travel insurance and personal accident cover
- Note: The University provides Third Party Liability Insurance only - it does not cover personal injury
